Minutes of the March 8, 2003

OHHA Business Meeting

The meeting was called to order 12:25 pm at the home of Becky & Bruce Benjamin in Claremore.

The minutes of the last meeting had been distributed via email so were not read but accepted and approved. Linda Johnson gave the treasurer’s report.

Diana Best started with a review of the OHHA calendar. The March 15th CDE Planning meeting is canceled and the CDE Planning meeting on April 26th will be in Stillwater as a workday at the fairgrounds. WE NEED YOU to help at the workdays as there is a lot that needs to be done in preparation for the fall CDE. Tools will be needed such as, chain saws, tree pruners, rakes, etc. We have many trees to clear out and clean up to make the trails. We will be walking over the dressage field checking for any debris that needs cleaned up prior to it being planted and then we will hit the trails that day.

The April 12th Driving at Woodridge Farm will be for practice on dressage, cones and hazards. If you know of anybody wanting to volunteer for the CDE and are wanting to learn how to judge any of the phases, please encourage them to come to the play day. We will start 'breaking' them in slowly.

Becky Benjamin reported that Lisa Singer is planning to be here July 25 & 26. All slots are filled but you may call Becky (918-283-0242) to have your name put on the waiting list if there is a cancellation. If you are signed up for the clinic a deposit of $50 is due now. Make payable to OHHA and mail to Becky Benjamin 17691 East 430 Rd., Claremore, OK 74017. There are plans to have a cookout at Benjamin’s Saturday.

Linda Johnson said that everything was ready for the contract to be signed on the land next to the Stillwater fairgrounds. She wanted the club to make sure we understood it is a three-year lease at $300 per year. We will be allowed to use the land at least three or four times a year. Discussion followed and it was voted on and passed that we should go ahead and sign the lease as planned.

There was much discussion about what type of storage facility we need to store our event items in. Diana had prices on the metal storage units that the company brings in and then we rent it. Also information on enclosed trailers. It was then talked about either building a storage shed or having a pre-made one brought it. It was decided that we need to check to see what the Stillwater fairgrounds will let us do and get more information on cost of these types of buildings. We feel that we need at least a 10"x 20" unit. The fairgrounds are currently letting us store our materials in one of their buildings.

Ron Carlson gave a report about a course designer he has lined up to help us with the layout of hazard placement. Her name is Marjorie Margentino from Newark, NJ. She will be in Stillwater March 21-23.

The officials for the Cowboy Country CDE will be: Jeff Alt, "R" President of Jury from Pennsylvania; Margot Wilcox "R" Judge from Massachusetts; Shelley Temple, "r" Judge from Virginia; Karen Holford, Presentation Judge from Mounds, OK; and Tom Knicker, Technical Delegate, from Texas. It was suggested that we get biographies on each of the judges, TD and course designer to put in the program.

Karen Salge talked about plans for sponsorships for the CDE. She will have a form that we can give to businesses or individuals to fill out and plans to have it available at the next meeting. Cost for advertising in the program will be:

Business Card, $25

Karen would like for us to start collecting items to put in the silent auction and the live auction. Bring to any meeting and Karen will pick them up. The items don’t need to be horse related.

Terese Miller will be checking on getting vests made for the volunteers. Linda Johnson talked about having training days for our CDE volunteers. If you have friends that would like to judge a hazard, please have them come to the April 12th Driving at Woodridge Farm in Claremore. Start asking your friends now if they would like to help with the fall CDE.

Diana Best said magnetic name tags would be $5 each and anyone who wants one will need to let her know. This is not a club expense. These will be used at the CDE and will make it easier for people needing help to identify us as club members.

Andy Kincaid has a block of rooms reserved at a motel in Stillwater the weekend of the CDE, once final details are arranged we will notify everyone.

Joann Vance from Texas will judge the Pleasure Show in August.

Pat Gillespie has volunteered to be the Webmaster for an OHHA website. THANK YOU PAT!! She said she would be able to update the website monthly. If you would like to look at another site she designed go to www.horseok.com. We will let you know what the address is and when the site will be up and running! We will post the requirements for pictures, etc., as soon as Pat has advised us of them. Any suggestions for items to be placed on the site contact Pat. This is very exciting and we look forward to having this venue to promote our club and inform the members.

Becky told us about the National Singles Championships in Parker, CO needing donations. She feels that it is important to promote and help this organization so that we can have a topnotch place in the western part of the United States for national CDE’s. Becky made a motion for the Club to donate $150, it was voted on and passed. She would also like for anyone else to make private donations. Please send to:

Diana Best was able to participate at the Sunrise Ridge HDT in Texas. She said it was very nice and a good course.

The meeting was adjourned at 2:07 p.m. followed by an educational presentation by Becky Benjamin on what to pack for a CDE and then what to expect schedule and planning wise throughout the weekend of competing at a two or three day CDE.  We touched some on rules and regulations, but will plan to immerse ourselves deeper in them at a later date.
